A professional invoice isn't complicated, but leaving out a key detail can delay payment or make the invoice invalid. Here are the nine elements every invoice should include, in the order they usually appear.
The 9 things every invoice needs
- The word "Invoice" so there's no doubt what the document is (use "Tax Invoice" if you're tax-registered).
- Your business details name, address, email, phone, and logo.
- Your client's details name, company, and billing address.
- A unique invoice number sequential, e.g.
INV-2026-0001(use a invoice number generator). - Issue date and due date when it was sent and when payment is due.
- An itemized list description, quantity, and rate for each product or service.
- Subtotal, tax, and total the net amount, any VAT/GST/sales tax, and the grand total due.
- Payment terms and methods e.g. "Net 30", plus bank or payment-link details.
- Notes a thank-you, late-fee policy, or PO reference if needed.
What about tax details?
